Administrative Assistant


We are hiring for an Administrative Assistant to run our main office and manage duties as described below.

Reports to: Lead Pastor
Hours: Part-Time (24 hours per week)
Schedule: Monday 10:00 AM – 12:00 PM; Tuesday–Friday, 9:00 AM – 3:00 PM (30-
minute lunch)
Compensation: Based on experience ($16–$22 per hour)

Position Overview:
The Administrative Assistant plays a vital role in supporting the mission and ministry
of New Life Lutheran Church by managing office operations, coordinating
communication, and assisting with worship preparation. This position requires
excellent organizational skills, attention to detail, and a welcoming demeanor.

Primary Responsibilities:
Office Administration & Communication:
  • Serve as the primary point of contact for the church office, greeting visitors and responding to inquiries via phone, email, and mail.
  • Maintain church records, databases, and member information, ensuring accuracy and confidentiality.
  • Coordinate and distribute the weekly New Life LINK electronic newsletter and other communication materials.
  • Update and maintain the church website to ensure timely and accurate information.
  • Manage office supplies and ensure essential resources are available.
  • Organize and maintain church files and records, both digital and physical.
  • Track attendance and financial data, preparing reports as needed.
Worship & Event Coordination:
  • Assist in preparing worship materials, including bulletins, worship slides, and scripts.
  • Actively recruit, schedule, and confirm volunteers for worship services and special events.
  • Ensure the worship space and printed materials are ready for services.
  • Support logistics for church events, including sign-ups and hospitality needs.
Financial & Membership Support:
  • Record and maintain visitor and member engagement information for follow-up.
  • Assist with financial processes, including tracking offerings, preparing reports, and ensuring timely communication with the finance team.
  • Process mail, including donations, bills, and correspondence, in coordination with church leadership.
  • Maintain and update membership management systems as needed.

Preferred Skills & Qualifications:
  • Strong communication and organizational skills.
  • Proficiency in Mac OS-based software, including Pages, Keynote, and Canva (training available for the right candidate).
  • Ability to manage multiple tasks efficiently and with attention to detail.
  • Familiarity with church operations and a commitment to supporting New Life
  • Lutheran Church’s mission and values.
  • Ability to work both independently and collaboratively.
  • Experience with membership management systems is a plus.
Supervision & Accountability:
This position reports directly to the Lead Pastor and collaborates with church staff
and leadership teams. Regular check-ins and evaluations ensure alignment with church
goals and operational needs.
Confidentiality & Professionalism:
This role requires handling sensitive member information, financial contributions, and prayer requests with care and confidentiality. The Administrative Assistant must uphold professionalism and discretion at all times.

Additional Considerations:
  • While the regular schedule is Tuesday–Friday, occasional flexibility may be needed for special services or events (e.g., Christmas, Easter, major church functions).
  • This role requires proficiency in multitasking and working independently, as well as the ability to interact warmly and professionally with church members and visitors.
